Your Responsibilities
We are seeking an organized, proactive, and detail-oriented Project Coordinator to provide administrative support for various projects across departments. This role will focus on ensuring efficient project execution by handling administrative tasks, coordinating schedules, maintaining project documentation, and assisting with communication between teams and stakeholders. The ideal candidate will be able to work independently, take the initiative, and contribute to the overall success of project administration management efforts.
- Project Administration: Assist in planning and coordinating the administrative aspects of projects, including preparing and organizing documentation, tracking timelines.
- Project Management: Assist in project management by checking status of projects and outstanding tasks required to close projects.
- Communication and Coordination: Serve as a liaison between project teams, stakeholders, and clients. Organize and facilitate meetings, prepare agendas, take meeting notes, and follow up on action items.
- Documentation Management: Maintain accurate and up-to-date project files, records, and documentation, ensuring all necessary documents are stored and easily accessible in the Applications used.
- Scheduling and Calendar Management: Coordinate administrative project-related tasks, such as project status, project opening, closing and Invoicing.
- Budget Tracking: Assist with monitoring project budgets, tracking expenses, and ensuring that financial documentation is accurate and up to date.
- Process Improvement: Identify and recommend ways to improve administrative processes related to project execution, documentation, and communication. Work on progress tracking of projects with PSE, and other key performance metrics.
- Problem-Solving and Support: Address administrative challenges that may arise during project execution and assist team members in overcoming logistical obstacles.
- Event Planning, ordering of Laboratory Supplies
- Support Engineering teams with creation PO for Calibration of Equipment and coordination of scheduling
- Set up projects in PSE/ Close out projects in PSE
- Cooperating with B&R and Account Executives to ensure projects are opened in a timely manner
- Communicate delivery dates to customers
- Assign projects to project handlers according to their availability
- Ensure the engineering hours are entered and adequate info to close out projects
- Timely project invoicing
- Entering purchase requisitions in the TUV SUD system
- Work with local vendors on operational needs
- Support with ordering Office supplies and services

Education
- Associate’s degree in business administration, Management, or a related field (or equivalent work experience)
Experience
- 1-2 years of experience in administrative support or project coordination, preferably in a project-based environment.
Skills
- Strong organizational and time-management skills, with the ability to manage multiple tasks and priorities.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and project management software (e.g., Asana, Trello, or similar tools).
- Attention to detail and ability to maintain accuracy in record-keeping.
- Ability to work well in a team and independently, while maintaining a positive and collaborative approach.
