Administrative Assistant - Engineering Services (Temporary)

About the Role

We are seeking a detail-oriented Administrative Assistant to support our engineering and client service teams. This role is primarily administrative in nature and is ideal for someone who enjoys organizing information, coordinating activities, and ensuring high-quality documentation.

You do not need an engineering background to be successful in this position. However, you should feel comfortable working in a technical environment, collaborating with engineers, and reviewing technical reports for formatting, quality, consistency, spelling, and grammar.

This is a remote opportunity based in France. While the role is fully remote, team members are welcome to work from our Paris office when desired.

Your Tasks

  • Review and process technical reports, ensuring accuracy, completeness, consistency, and quality standards prior to client distribution.
  • Coordinate report processing and distribution, ensuring documents are delivered accurately and on time.
  • Maintain and update client contact information and report distribution lists.
  • Follow up with account managers and field engineers regarding report status and outstanding documentation.
  • Enter, update, and maintain data within GRC databases and internal systems.
  • Monitor incoming client requests and direct them to the appropriate internal teams.
  • Provide day-to-day administrative support to account managers, engineers, and other team members.
  • Assist with document management, records maintenance, and general office administration activities.
  • Support operational activities and contribute to process improvements where appropriate.

Your Qualifications

  • Secondary education diploma or equivalent professional experience.
  • Previous experience in an administrative, office support, coordination, document control, customer service, or similar role.
  • Excellent organizational skills and strong attention to detail.
  • Strong written communication skills, with the ability to identify spelling, grammar, formatting, and document quality issues.
  • Comfortable working with technical reports and collaborating with engineers and technical specialists.
  • Proficiency with Microsoft Office applications, including Outlook, Word, and Excel.
  • Ability to manage multiple tasks, prioritize work effectively, and meet deadlines.
  • Professional communication skills in French and English
  • Experience working in an engineering, industrial, certification, inspection, testing, or technical services environment is advantageous but not required.
