Job Summary:The Executive II, Admin (Logistics and Planning) role supports the company’s operational and administrative activities, focusing on the coordination of logistics, resource scheduling, and planning for projects, audits, and training. This position ensures smooth day-to-day operations, proper document handling, and efficient communication among internal departments and external stakeholders.Key Responsibilities:
Administrative & Coordination:Manage daily administrative tasks and maintain organized filing systems for operations and project-related documentation.Prepare, process, and track internal and client-related correspondences, purchase requests, and reports.Support the scheduling and coordination of company activities, meetings, and events.
Logistics Management:Plan and coordinate logistics for projects, audits, and training sessions (venue bookings, transportation, accommodation, materials, etc.).Liaise with suppliers, service providers, and partners to ensure timely delivery of logistics requirements.Monitor inventory of supplies, materials, and equipment used in operations.
Planning & Scheduling:Support the planning and scheduling of internal and external audits, including resource allocation and monitoring.Assist in tracking project timelines and ensuring deadlines are met.Coordinate with auditors, consultants, and clients for appointment setting and follow-ups.
Finance & Procurement Support:Prepare expense reports, monitor cost efficiency, and assist in budget tracking for logistical activities.Process supplier invoices, petty cash, and reimbursement claims as needed.
Compliance & Quality:Ensure all logistics and administrative activities adhere to TÜV SÜD policies and ISO management system requirements.Maintain confidentiality and data protection compliance for all administrative records.
Qualifications:Bachelor’s Degree in Business Administration, Office Management, Logistics, or related field.Minimum of 2–3 years of experience in administration, logistics, or planning (preferably in a service or technical industry).Strong organizational, multitasking, and problem-solving skills.Excellent communication and coordination abilities.Proficient in MS Office (Excel, Word, Outlook, PowerPoint).Knowledge of basic procurement and vendor management processes is an advantage.Experience in supporting audit or project-based operations is preferred.
