Tasks
- Coordinates customer projects, supports expert teams, and ensures overall project control and completion
- Cooperates with commercial assistants to secure smooth project administration
- Communicates project status and delivery dates to customers
- Responds to customer queries and forwards specific questions to the appropriate experts
- Prepares regular project status reports
- Performs cost calculations according to defined specifications
- Records incoming product types and performs Admin Checks to ensure complete documentation
- Assigns projects to authorised personnel or project handlers based on availability
- Sets up assessment teams in line with availability and authorisation requirements
- Assigns work packages to experts based on availability
- Tracks deadlines for individual work packages and ensures timely progress
- Escalates conflicts or delays to line management or the responsible department manager
- Supports the preparation of documentation for auditors and product specialists
Qualification:
- Strong project coordination and multitasking skills to manage multiple customer projects simultaneously
- Education to University Entrance Standard
- 3 years of experience in project coordination, customer support, or administrative roles in a technical or regulated environment.
- Clear and professional communication skills for interacting with customers, experts, and internal stakeholders
- Solid administrative and documentation skills, including file completeness checks and preparation of audit materials
- Ability to plan, assign, and monitor workloads based on authorisations and availability
- Proactive deadline and progress tracking, with readiness to escalate issues when needed
- Competence in basic cost calculation and creating regular project status reports
- Customer service orientation with the ability to handle queries and ensure timely, accurate information flow
- Fluent English
