1. Quality Management Support
- Assist in maintaining and organizing quality-related documents and records to ensure easy retrieval and compliance.
- Assist in organizing and coordinating training sessions and awareness activities related to quality across departments.
- Support proper document control and version management to avoid outdated or inconsistent records.
- Assist in following up with business units/departments for requests of documents related to quality.
- Support internal quality audits by preparing documentation, following up on corrective actions, and tracking closure of findings.
- Assist in collecting and analyzing customer feedback/complaints to identify areas for improvement.
- Support continuous improvement initiatives such as work improvement projects (WIP) and awareness of ISO standards compliance.
2. Data Protection Support
- Assist in maintaining data protection documentation and records of processing activities in compliance with PDPA/GDPR requirements.
- Support awareness initiatives, campaigns, and training related to data privacy for employees.
- Ensure proper filing and accessibility of data protection materials for internal and external audit purposes.
- Assist in following up with business units/departments for requests of documents related to data protection.
- Support reporting officer in monitoring compliance with corporate and regulatory data protection policies.
3. Compliance Support
- Assist in preparing and maintaining documentation related to local compliance requirements, including health and safety obligations.
- Help coordinate internal communications, briefings, and training related to compliance topics.
- Maintain organized filing systems for compliance-related documents in both physical and electronic formats.
- Assist in following up with business units/departments for requests of documents related to compliance.
- Support reporting officer in preparing compliance reports, dashboards, and summaries for management review.
- Assist in preparing documentation for internal and external audits and coordinate follow-up actions.
4. Safety, Environmental and Health Support
- Assist in maintaining safety, environmental and health-related records and documentation.
- Help coordinate awareness sessions, safety drills, and environmental campaigns in collaboration with relevant departments.
- Support reporting officer in tracking KPIs and incidents related to workplace safety, environmental compliance, and health matters.
- Assist in organizing internal reviews of safety and environmental compliance programs.
- Participate in inspections or audits by collecting evidence, preparing documentation, and tracking corrective actions.
- In addition, the Junior Officer is expected to support any other miscellaneous activities related to quality, safety, environmental and health as informed by the reporting officer.
5. IT & End-User Support
- Provide basic IT support, including computer setup, hardware/software troubleshooting, and installation of approved applications.
- Coordinate the creation and deactivation of user and email accounts in collaboration with HR and the SG IT team.
6. Asset Management & Audit
- Provide Maintain an accurate and up-to-date inventory of all IT and office assets throughout their lifecycle—from acquisition to disposal.
- Conduct quarterly asset updates and lead the annual asset audit to ensure compliance and accountability.
- Ensure all assets are properly documented, tagged, and tracked in accordance with company policies and audit requirements
7. Facilities Management & Sustainability Support
- Assist in facility maintenance and operations to ensure a safe, secure, and efficient working environment.
- Support the collection and reporting of sustainability data in alignment with corporate and global reporting requirements.
