I. Position Summary
This position is the specialist supporting the Business Unit (BU) by acting as the owner of local administrative arrangements and providing partial sales support. The role also executes general operational processes across other support functions to ensure high‑efficiency internal business operations that meet BU needs.
II. Job Responsibilities

Administration (Subtotal: 65%)
- Organize team activities and visitor reception (e.g., regular team events, team building, annual party/dinner), ensuring a welcoming and professional reception experience. (15%)
- Support local team administrative work, including but not limited to welfare applications, equipment procurement, asset inventory management, team‑building activities, and annual meetings. (15%)
- Meeting support responsibilities: organize meetings, prepare agendas, facilitate meetings, complete meeting minutes, and track follow‑ups to ensure efficient and effective meetings. (5%)
- Perform other duties assigned by the Reporting Manager and/or other managers. (25%)
- Periodically review and improve processes with an efficiency‑oriented and quality‑driven approach. (5%)
Sales Support(Subtotal: 35%)
- Support the process of sales order approval in the responsible area, including contract/quotation preparation, liaison with business colleagues, process initiation and follow‑up, and client contact as needed. (25%)
- Support the process of sales order bidding in the responsible area, including bidding document analysis, material collection, document preparation, and client contact as needed. (10%)

III. Job Requirements

- Bachelor’s degree in business administration or a related field, with 2-3 years of experience in an administrative or sales’ support role.
- Exceptional written and verbal communication skills, with a proven ability to draft clear and professional documents (agendas, minutes, reports)
- Fluent both in oral & wiring in English with experience as host of meeting.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational skills and keen attention to detail.
- Proactive, resourceful, and able to work effectively both independently and as part of a team
- Ability to manage multiple tasks simultaneously and meet deadlines in a dynamic environment under pressure.
