Vendor Operation Coordinator - IS(CPI) - Khobar - KSA

Job Summary

The Vendor Operation Coordinator is responsible for coordinating and monitoring vendor activities to ensure smooth operational execution in line with project requirements, contractual agreements, and company standards. The role acts as a key interface between internal teams and external vendors, ensuring timely mobilization, proper documentation, effective communication, and high productivity.


Key Responsibilities

  • Coordinate daily operational activities between vendors, field teams, and internal departments.
  • Act as the primary point of contact for vendors regarding scheduling, mobilization, and operational requirements.
  • Ensure vendor compliance with contractual terms, scope of work, quality standards, and HSE requirements.
  • Plan and coordinate inspection, fabrication, construction, or service activities in collaboration with operations teams.
  • Track vendor performance, productivity, and deliverables against agreed KPIs.
  • Support mobilization and demobilization planning, including manpower, equipment, and logistics.
  • Review vendor documentation such as method statements, schedules, inspection reports, invoices, and certifications.
  • Coordinate report submission timelines and follow up on outstanding deliverables.
  • Resolve operational issues, delays, or conflicts and escalate critical concerns when required.
  • Maintain accurate operational records, vendor logs, and performance reports.
  • Support cost control by tracking work completion, quantities, and variations where applicable.
  • Ensure effective communication between site teams, management, clients, and vendors.
  • Issue Quotations  , PR, PO 

Qualifications & Experience

  • Bachelor’s degree or diploma in Engineering, Business Administration, Operations Management, or a related field.
  • Minimum 2–5 years of experience in vendor coordination, operations, or project support roles (preferably in oil & gas, construction, or industrial services).
  • Experience working with third‑party vendors, subcontractors, or inspection agencies is preferred.

  • Proficiency in MS Office (Excel, Word, Outlook, PowerPoint)
  • Knowledge of ERP or vendor management systems is an advantage
  • Problem‑solving and decision‑making capability
  • Attention to detail and strong follow‑up skills
